POSITIONS OPEN

JOB TITLE:  Group Coordinator

RELATIONSHIPS:  Immediate supervision from Director of Operations

RESPONSIBILITIES

- Respond to client inquiries and provide accurate and detailed information via phone or e-mail.

- Effectively communicate with clients to ensure consistency between the tour products offered with respect to client expectations.

- Prepare itinerary proposals, cost outlines, and reservations with minimum supervision required.

- Process reservations and monitor confirmations for group files as assigned by Group Manager.

- Ensure group files are completed accurately and according to the confirmed itinerary.

- Generate customer invoice/confirmation for confirmed reservations and monitor deposit and final payments for all assigned files.

- Prepare comprehensive tour documents and itineraries that meet the clients’ needs and ensure that they are clear, concise, and accurate.

- Assist with the collection of supplier information including pricing, descriptive data, booking terms, and cancellation information.

- Other administrative duties as needed.

QUALIFICATIONS

- High attention to detail and ability to research independently

- Knowledge of Alaska and a minimum of two seasons travel industry experience

- Excellent customer service and follow through with clients

- Strong written and verbal communication skills

- In depth Knowledge of Southeast Alaska

- Reliable, motivated and efficient problem solver

- Ability to work efficiently in a team-oriented environment

- Proficient knowledge of computer applications including Word and Excel

- Bachelor’s Degree and tour guide experience preferred but not required

- Knowledge of Western Canada is advantageous but not required

JOB TITLE:  Product Coordinator   

RELATIONSHIPS:  We are looking for a career oriented professional to work within the Product Management Team with immediate supervision by Director of Business Development.

RESPONSIBILITIES:

Product Management

- Assist Product Manager in contracting with external vendors.

- Assist Product Manager with writing tour description text and presentation of (new) package tours for wholesale and direct consumer markets.

- Assist Product Manager with updating and entering data into reservation system.

- Assist Product Manager with price calculation.

Customer Service

- Assist Product Team with issuing travel documentation.

- Assist Internet Sales Team in taking incoming phone calls and respond to general inquiries in a professional and information manner.

- Assist Internet Sales Team in responding to custom proposals or request in written professional manner and per company standards. 

- Assist traveling customer with questions/programs as they arise and help resolve any client complaints.

- Participate in rotating after-hours emergency cell phone schedule.

QUALIFICATIONS

- Bachelors degree in Business Administration or Tourism/Leisure Travel

- Minimum of 2 years working experience in the travel industry experience required

- Excellent attention to detail

- Strong organizational verbal and written communication skills

- Excellent customer service skills and ability to follow through with clients

- Proficient knowledge of Microsoft computer applications including Word, Excel, and Outlook

- Self starter with the ability to work independently

JOB TITLE:  Reservations & Sales Agent

RELATIONSHIPS:  Work within the Reservations Sales Team at one of Alaska's leading tourism businesses helping visitors realize their Alaska dream vacation for 20 years.  Direct supervision from Reservations Supervisor.

RESPONSIBILITIES:

Reservations

- Complete a reservation request from start to finish.  This entails:

- Receiving and analyzing request and clarifying or requesting additional information or providing additional information and/or options to customer, as needed.

- Creating reservation checklist and processing reservation in company reservation system.

- Forward vendor request forms to vendors by fax or e-mail, including differentiating in-house inventory or vendor request requirements.

- Follow up with vendors on pending items as necessary and process confirmed or denied requests from vendors, and book or offer alternate services when services are unavailable according to company policies.

- Ensure supplier pricing, booking terms, and cancellation policies are noted and consistent with negotiated contracts.

- Enter confirmations into reservation when vendor requests are confirmed and complete confirmation/invoice for review by supervisor.

- Verify any special payment and/or deposit policies and note on invoice and forward confirmation/invoice and any important information to client or tour operator.

Customer Service

- Respond to correspondence from customers/tour operators via fax and e-mail for general inquiries and reservations.

- Assist traveling customers with questions/problems as they arise.

- Communicate with customers and/or Manager to ensure consistency between products offered in relation to client expectations.

- Participate in after-hours emergency cell phone schedule.

General Tasks

- Assist accounting with verifying vendor invoices as needed.

- Assist with documentation as needed. Other office duties as assigned.

- Strong and friendly written and verbal communication skills

- Working knowledge of computer applications such as Word, Excel and Outlook are essential Highly observant to both small and large details.

- Knowledge of Alaska, Yukon and/or Canada’s West and foreign languages are advantageous but not required.

JOB TITLE:  Office Assistant – Full or Part time (seasonal April - August 2013)

RESPONSIBILITIES:

General Office Duties

- Answer phones within the first two rings and redirect calls to the appropriate departments

- Assist clients by phone in a friendly manner, requesting help from appropriate departments as needed

- Greet clients and visitors in a friendly manner and assist them as necessary, requesting help from appropriate departments as needed

- Keep reception area neat, clean, and ready to receive guests

- Assist with various projects including faxing, copying, printing

- Keep Office Printer/Fax (BizHub) stocked with paper at all times

- Organize, order, and coordinate delivery of general office supplies as needed

Support of Reservation Departments

- Assist the group and FIT reservation department with tasks including: entering reservations, communicating reservations to service vendors via e-mail, fax or phone.

- Assist with follow up and other projects as assigned.

Support of Product / Travel Documentation department

- Assist the product / travel documentation department with generating travel documents including itineraries and selecting additional travel information material.

- Assist with other projects as assigned.

Support of Direct Sales Department

- Assist the Direct Sales department. Tasks include assisting customers with their questions or travel inquiries via phone or in person.

- Assist with other projects as assigned.

Document Delivery

- Liaise with Product / Travel Documentation department regarding client document deliveries

- Oversee daily documents folder and deliver and/or fax documents as needed

- Deliver completed customer document packets to various locations within Anchorage city limits as established by company guidelines: Run errands/make deliveries once per day Deliver packets to hotels no more than 24-48 hours prior to guest arrival

- Prepare various document packages for mailing

HOURLY AGE:  $10 - $12 per hour +, depending on experience

SKILLS REQUIRED:  Excellent written and verbal communication skills; working knowledge of computer programs including Microsoft Word and Excel. 

OTHER:  Reliable transportation required for deliveries.  Company will reimburse for mileage.

 This is a great entry level position for the tourism industry. Tourism or Business Administration students looking for a part time job are welcome!
